ROLE PURPOSE:

HQ ADMIN AND DOCUMENT CONTROL SUPERVISOR is responsible for maintaining the accurate records of the client's documentation in accordance with company’s document control and records management procedure. Assist in handling project documentation and correspondence in support of one or more managers.

DUTIES AND RESPONSIBILITIES :

  • Ensure the proper use of personal protective equipment (PPE);
  • Maintain a clean and safe work area;
  • Comply with the Company’s Environmental, Occupational, Health and Safety requirements at all times;
  • Participates in scheduled training sessions such as required safety training and work-related sessions as well as back-to-work safety meetings.
  • Knowledge of administrative and clerical procedures and systems such as word processing, e-mail, spreadsheets, and managing files and records and other office procedures at a proficient level.

MANAGEMENT

DUTIES AND RESPONSIBILITIES:

  • Seeks resolution of any work overload from the Document Control Manager.
  • Liaise with Project Management & team, Client, and Sub-contractors effectively and resolve problems and issue's relating to documentation.

ADMINISTRATIVE:
DUTIES AND RESPONSIBILITIES:

  • Perform general administrative duties such as but not limited to; filing, photocopying, taking and distributing meeting minutes, managing schedules, coordinating travel arrangements, scheduling appointments with internal and external parties, sorting and distributing correspondence and maintaining database records in accordance with the document control and records management procedure.
  • Check for accuracy and edit files
  • Document Control mailbox management sorting electronic or hard copies of project documentation and producing reports
  • Distribute project-related copies to internal teams
  • File documents in digital records (MS SharePoint), in accordance with client's document control and records management procedure.
  • Create templates for future use, in accordance with clients document control and records management procedure.
  • Retrieve files as requested by employees and clients, in accordance with clients document control and records
  • management procedure.
  • Transmittal and dissemination of formal documents in accordance with clients transmittal procedure.
  • Manage and Update Registers i.e., Transmittal Register, Controlled Documentation Register
  • Assist in reconciliation of Petty Cash (Internal)
  • Translate the English documents to French (Vice Versa)
