HUSBANDRY COORDINATOR IN CONAKRY F/H

This position isunder supervision of the Agency Manager of CONAKRY. This position willrequirecooperationwith Shipping Department.
Based in Conakry
The main areas of responsibilities are:

- Quotation for Husbandrymatter to Interagency Network and Clients, seeking AM approval first.
- Make sure thatquotewasapproved by client or colleague in case of interagencywork,
- In charge of the belowsteps:
- M&G + transportation,
- Hotel and Travel arrangements (Airlines and Car/Bus rental)using the supplier’sshortlist and client request,
- Visas, LOI + OKTB, Letter’s to authorities,
- Responsible of the crew change under supervision of manager
- Make sure that the car is in order for operation,
- Avoid and report customers complaints,
- Sending email to clients requesting services with AM + Shipping dept in cc,
- In charge of the husbandrydepartment, with Shipping Agent in case of AM absence,
- Checkinghusbandry documents receivedfrom clients, suppliers and logisticsactors,
- Daily, Weekly, Monthly update of activities
- Organizing files afteroperations in order to invoice/close,
- Support Agency Manager on tender’squotations and other OPS.
- Negotiationswithsuppliers (Hotel, Immigration, Car rental, port authorities and airport,) in case of Agency
- Manager’s absence and under supervision of Finance Team.
- Supervising the HB operation in the province (Conakry, Kamsar),
- Updating clients on HB operations (official documentation),
- Responsible of supervising& training the HB team membersworkingunderyourresponsibility (best practices, updatedprocess and rulesfromgovernment).
- Complywith the rules, procedures and policies of HB activities& the group,
- Strict Control of the invoicesrelated to the operations (Car rental, Hotel, Airlines, Immigration)
- Coordination of operationwith drivers, subcontractors, airport agent.
- Providemonthlycomments and reports on the operation and invoicingactivity,
- Petty cash controlling. Strict Control of the invoicesrelated to the operations (Car rental, Hotel, Airlines, Immigration)
- Responsible for getting Management approvalbeforeselectingsuppliers,
- Properfiling of operation documents (PO signed by top management),
